Personal Information
When taking on a plot at Southdown Shaw, Meopham and District Allotment Association needs your contact details (name, address, phone numbers and email address) for the following purposes:
Meopham and District Allotment Association does not disclose private data to third parties unless legally obliged to under the General Data Protection Regulation 2016 (GDPR).
The only data held by MDAA on individuals, is that which was supplied to it when a plot was taken over. The accuracy of such data is dependent on the information supplied by the plot holder and as such MDAA cannot be held responsible for any errors in this information. Please let us know if any details change.
The data will only be held as long as you hold tenure of the plot.
You have a right to inspect the information under the GDPR 2016.
You have the right to complain to the ICO (information Commissioner’s Office).

- To contact you when payment of the annual fee is due or late.
- To contact you when a problem arises with your plot and the committee have been advised accordingly.
- To contact you if your plot does not reach the expected standards as outlined in the tenancy agreement signed at the beginning of your tenure.
- To contact you if conditions of tenure are changed by MDAA or Meopham Parish Council.
- To advise and invite you to the AGM.
- To advise you of any social activity e.g. Open Days, coffee mornings.
- To advise you of relevant information from committee meetings.
- To advise you of relevant information from the National Society of Allotment and Leisure Gardeners e.g. 3rd Party Insurance matters
- To advise you of decisions that affect the site from Meopham Parish Council, Gravesham Borough Council, Kent County Council or the government of the day.
- To advise you of information received from relevant local organisations e.g. Istead Rise, Meopham or Cobham Garden Clubs or local Allotment Associations.
- To send you information from the Neighbourhood/Allotment Watch scheme or local PCSO.
- This is not a comprehensive list and MDAA reserve the right to contact you for other relevant purposes as they arise.
- The Chair - to respond to queries/questions from plot holders and to send information as it arises using our Email account.
- The Lettings Committee Member Main Spreadsheet – main source of information on plotholders including paper documents.
- The Secretary on a Spreadsheet and on the Association Email account – for contacting plot holders as above.
- The Treasurer on a Spreadsheet for fees due.
- If one computer fails, two are backups.
- All computers used are protected by up to date virus protection and spyware.
- Paperwork is kept safely in a locked container.
